We often get requests for the following items. You should use this as a checklist in order that you can determine if your IT needs are fully met. In general, we perform these functions at many business sites, due to ever-changing government legislation, health and safety laws, privacy laws, general business policies and protection of company data.

Here are extracts from emails and information sent out to businesses for perusal and for them to work out their company rules and regulatiuons:


Website Access:  

We are getting many requests to prevent access to certain websites, such as TradeMe, FaceBook, Twitter, eBay … various illegal music download sites, and the list goes on. 

If you would like to prevent all/certain users from accessing some websites using work PC’s then this can be carried out on an individual PC basis, site basis, or whatever is required.

Since I don’t know what your company policies are regarding access to various internet site, I cannot judge for you.  We can discuss these matters with you and advise accordingly.  We realise that often companies are unaware of what they require and therefore discussion can prompt the decision-making process.  Remember: one size does NOT fit all in the case of these policies.

 
   
Mobile Phones:  

Over the coming few months, I will be emailing you suggestions for policy changes within your company.  These are to enable security of data and to protect your business and maintain control of data.

Generally, I won’t be providing wording for such, mainly just the ideas and comments that can assist in making up wording to go into your Company Policy Rules

You need to have ability to wipe ANY cellphone at ANY time by ANY means.  This can mean remotely, too.  In some countries and probably coming to NZ, to wipe a persons cellphone CAN be a criminal offence.  So since your company may own the phones it can make a blanket policy.  On phones it does not own the policy can be agreed upon, you get the owners prior permission to be able to perform this action in the future.

Such times may be when someone leaves; is sacked; is disgruntled or just going to a rival company.  Since mobile phones can have data from your company server or emails that belong to the company, then it would be prudent to ensure you can legally call upon that policy, if ever required.

Closing of ALL email accounts so that none can obtain mail on a Mobile phone is a necessary precaution; ONLY those phones authorised by management will be reactivated to do so, just another way of controlling data.
It is often about HAVING policies in place, rather than NOT having anything.  The law takes a dim view of companies that are lax in protecting personal data.
